Cost Control / Project Control Administrator (WFH)

Job Summary:
We are seeking a detail-oriented and proactive Cost Control / Project Control Administrator to support construction projects by managing budgeting, tracking project costs, maintaining documentation, and assisting with progress reporting. This role is essential to ensuring the financial health and timeline adherence of our construction projects.

Key Responsibilities:
• Prior experience with Aconex Cost (or similar project cost management systems) preferred; training available for the right candidate.
• Strong background in cost control or project controls (with a finance background), ideally within construction projects.
• Advanced proficiency in Microsoft Excel, with the ability to manage and analyze large datasets.
• Detail-oriented with strong communication skills; able to follow instructions, work independently, and escalate issues when necessary.
• Demonstrated ability to analyze and reconcile large volumes of financial and cost control data, identifying and investigating variances.
• Weekly reconciliation between financial system data and Aconex cost records, including entry of missing invoices. This requires regular coordination with the Finance team to ensure reporting accuracy.
• Daily entry of accruals (unpaid invoices) into Aconex Cost, ensuring that all relevant documentation is correctly attached.
• Support for Purchase Requisitions (PRs) and Purchase Orders (POs) – assist in raising PRs/POs as needed.
• Maintain and update budgets and forecasts within Aconex Cost based on project developments and financial inputs with instructions from Cost Controller
• Update monthly cashflow data to reflect the current financial position and projections with instruction from Cost Controller
• Assist with various ad hoc tasks and project-related financial activities as required.
• During the Development Stage, invoices must be entered and attached in Aconex Cost at the Request for Invoice Approval stage

Requirements:
• Experience with Aconex Cost or similar systems (training available).
• Background in cost/project control and basic finance, ideally in construction.
• Proficient in Excel and able to handle large data sets.
• Detail-oriented, organized, and a good communicator.
• Able to work independently and escalate issues when needed.

Key Tasks
• Reconcile cost data and enter accruals/invoices in Aconex.
• Support PRs/POs, budget updates, and monthly cashflow.
• Coordinate with Finance to ensure accurate reporting.
• Assist with admin and finance tasks as required.

Preferred Qualifications:
• Experience in civil or commercial construction projects
• Familiarity with construction contracts and billing processes
• Knowledge of construction accounting principles
